This position was created to provide hands-on experience with the various facets of association event planning, including small meetings as well as a large-scale convention & trade show. The candidate will spend time with NCBA staff learning about: association management operations, registration, housing, catering, audio-visual, sponsorships sales, customer service, supplier relations, exhibits/trade show, event marketing, entertainment, and overall event production. This will be from September 15th – December 20th, 2021.

Provide customer assistance to registrants via e-mail & telephone; data entry of registration forms into registration system.

Assist with monitoring hotel block pick-ups.

Assist with reserved seating charts and VIP experiences.

Inventory registration supplies & place orders with vendors to ensure sufficient quantities for meetings.

Use the Function Sheet System to enter details for events taking place at during small and large meetings (date, time, room set-up, catering & audio-visual needs, etc.) that will be included in the specs book sent to the hotels & convention center.

Assist with marketing of the convention including convention website updates, email marketing campaigns.

Act as support staff at Cattle Industry Convention and NCBA Trade Show in Houston February 1-3, 2022 if scheduling allows)

Additional duties as assigned.

Successful candidate must be currently enrolled in a hospitality, tourism, event management or agriculture, animal science, agriculture communications or agricultural marketing or comparable degree program with an interest in event production. Excellent communication, collaboration and customer service skills are essential. Individual must be innovative and possess event coordination skills. Must be pleasant, outgoing and at ease meeting new people. Strong written and oral communication skills are necessary. A self-starter with the ability to excel in a fast-paced, deadline-driven environment will receive strong consideration. Must have intermediate knowledge of computer programs including Microsoft Word, Excel, Outlook, and the internet. Ability to travel overnight to the 2022 Cattle Industry Convention and NCBA Trade Show (all travel expenses covered by NCBA).
